Augmented Enterprise Summit: Privacy Policy

This policy explains how BrainXchange LLC, 169 Madison Ave, Suite 2349, New York, NY 10016 ("BrainXchange", "we"), handles personal information on augmentedenterprisesummit.com, in event registration, and at the Augmented Enterprise Summit. Contact: registration@brainxchange.com.

1. What we collect

When you register, or someone registers you:

• Name, work email, phone, company and job title of each attendee.
• For the buyer: billing name, company and address, an optional purchase-order reference, and job title.
• The pass type and any date choice.
• Optional: dietary needs and accessibility or accommodation needs. Give these only if you want us to act on them.
• Optional: whether you want marketing emails from BrainXchange. This box is never ticked for you.

Payments: you pay through Stripe. Card and bank account numbers go directly to Stripe; BrainXchange never receives or stores them. We receive payment status and the invoice record.

On our website: information you send through forms (for example newsletter sign-up or guest-pass applications), and technical data collected by cookies and similar tools (see section 5).

At the event: badge scans you allow (section 3), check-in records, and photographs or recordings of the event.

2. How we use it

• To run your registration: confirm orders, take payment, send tickets, invoices, receipts and updates about your order, and handle substitutions, refunds and credits.
• To run the event: badges, check-in, badge scanning, catering and accommodations, and the official event app.
• For our records, accounting, and to prevent fraud and misuse.
• To send BrainXchange marketing emails only if you opted in. You can unsubscribe at any time from any marketing email. Order and event emails are sent regardless, because they are part of your registration.
• To understand and improve our website and promote our events (section 5).

3. Sponsors and exhibitors

• Badge scanning: a scan only happens if you allow it, and you may decline. Scanning is provided by our badge-scanning and lead-retrieval provider (section 4). If you let an exhibitor or sponsor scan your badge, they receive your name, company, job title, email and phone so they can follow up with you. Their use of it is governed by their own privacy policy.
• Official event app: sponsors can find attendees by name and company and send messages through the app for up to 30 days after the event.
• We never sell, rent or hand over attendee lists. We do not share dietary, accessibility or payment information with sponsors.
• To stop sponsor messages through the app, or for any question about sponsor sharing, write to registration@brainxchange.com. Where the app offers a setting for it, you can also turn messages off there.

4. Who else receives information

Service providers that process information for us, under our instructions:

We may also disclose information when the law requires it, to protect rights or safety, or to a successor if BrainXchange's events business is sold.

5. Cookies, analytics and advertising tags

Our website uses:

• Essential cookies: keep the registration and checkout working. They cannot be turned off.
• Analytics: Google Analytics and Cloudflare Web Analytics measure how the site is used.
• Advertising tags: LinkedIn Insight and X (Twitter) tags measure our campaigns and may let those platforms show you our ads on their services.
• Email links: links in our emails may carry campaign and recipient identifiers so we can tell which emails were useful. These are stored in cookies for up to 12 months.

Analytics and marketing cookies from Google and LinkedIn are used only if you accept them in the cookie banner. You can change your choice at any time under "Cookie settings" at the foot of every page. You can also block or delete cookies in your browser, opt out of Google Analytics with Google's browser add-on, and manage ad preferences in your LinkedIn and X settings.

6. How long we keep it

• Dietary and accessibility information: deleted 60 days after the event.
• Other registration information: kept for 3 years after the event, then deleted or anonymized, unless we must keep it longer for tax, accounting or legal reasons (for example invoices and payment records).
• Marketing list: until you unsubscribe.

7. Your choices and rights

You can ask us to show you, correct or delete your information, or stop marketing emails, by writing to registration@brainxchange.com. We will respond within 30 days. Some information must be kept for legal or accounting reasons. Depending on where you live, you may have additional rights under local law, and we will honor them.

8. Security

Registration data is kept on a dedicated server behind access controls, and only staff who need it can see it. Payment details stay with Stripe. No system is perfectly secure; if a breach affects you, we will tell you as the law requires.

9. International attendees

We are based in the United States, and information is stored and processed in the United States. If you register from outside the United States, your information is transferred here.

10. Children

Our website and events are for professionals and are not directed to anyone under 16.

11. Changes

We will post changes here with a new "last updated" date, and tell registered attendees about significant changes.
